Secretary:
The duties of the Chapter Secretary are defined in Article VI, Section 6.02 of
the By-Laws of The Blue Knights' International Motorcycle Club, Inc.
Regular members in-good-standing, may hold the position of Chapter Secretary.
In the absence of a Regular member that volunteers for the Secretary Position,
an Associate member may hold the position of Chapter Secretary. In the absence
of an Associate Member that volunteers for the Secretary position, an Honorary
Member may hold the position of Chapter Secretary. The Chapter Secretary shall
have charge of such books, documents and papers as the Chapter President may
deem necessary to complete his duties. The Chapter Secretary (or his designee)
must be present at all Chapter Executive Meetings, General Business Meetings or
General Membership meetings to take notes or minutes of those meetings for
review, as necessary, at a later date. Chapter meeting notes or minutes should
be retained for no less than 90 days.
At the request of the President or in the event of the absence or disability of
the President and Vice President, the Secretary may perform the duties and
exercise the powers of the President; and to the extent authorized by the
Executive Board, the Secretary shall have such other powers as the Executive
Board may determine. He may be a co-signer with the Treasurer and President on
all chapter accounts and other legal documents given on behalf of the chapter.
In addition to those duties and responsibilities outlined in the International
By-Laws, our Chapter Secretary has the following additional duties and
responsibilities based upon tradition and past practices: Under the supervision
of the Chapter President, the Chapter Secretary shall prepare no less than 9
chapter news letters (annually) to be mailed to our "off-line" members, monthly
during the riding season and every-other-month during the winter months. The
Chapter Secretary shall maintain a list of current Chapter members and a current
list of (Internet) e-mail addresses for those members that are "on-line". The
Chapter Secretary shall maintain or supervise the maintenance of a chapter web
page or web site. The Chapter Secretary shall ensure nominations for the Chapter
election are sought from all Chapter members at least 60 days prior to the
annual Chapter Election and compile those nominations for the actual election.
These responsibilities may be delegated to other Executive board members or
appointed members-in-good-standing, but the general responsibility for the
completion of these tasks falls upon the Chapter Secretary.
